Improve Aged Care™ is a professional learning platform for people working in aged care. We respect the privacy of learners and are committed to handling personal information responsibly.

Improve Aged Care™ is operated by an Australian-registered business and provides online professional learning services to learners and organisations, including in Australia and New Zealand.

This Privacy Policy explains what information we collect, why we collect it, who may access it, how long we retain it and the choices you have about your information.

Information we collect

When you use Improve Aged Care™, we may collect:

  • Account information — your name, email address and information required to create and secure your account.
  • Professional profile information — optional information you choose to provide, such as your role, workplace or other professional information.
  • Learning information — Learning Blocks you enrol in, learning assigned to you, progress, completion information, professional development hours and certificates or credentials you earn.
  • Private learning reflections and commitments — where a Learning Block includes a reflection, Practice Commitment or Apply Tomorrow™ activity, the information you choose to enter is treated as private learning content.
  • Organisation information — if your learning is provided through an organisation, we record the relationship between you, the organisation and the learning it has provided or assigned.
  • Technical and security information — limited device, browser, sign-in and usage information necessary to operate, protect and troubleshoot the platform.
  • Payment information — where you purchase learning, payments are processed through our payment provider. Improve Aged Care™ does not need to store your full card details. We may retain transaction information such as the product purchased, amount paid, payment status and transaction reference for financial, support and record-keeping purposes.

How we use your information

We use personal information to:

  • provide access to Learning Blocks and learning pathways;
  • record your learning progress and completion;
  • issue and verify certificates and professional development records;
  • maintain your professional learning history;
  • provide organisation learning administration where learning has been assigned or provided by an organisation;
  • provide relevant learning progress and completion reporting;
  • operate and improve the platform;
  • protect accounts and platform security;
  • provide customer support; and
  • send essential communications about your account, learning, certificates or the operation of the service.

We do not sell your personal information or use it for third-party advertising.

Your private reflections and commitments

Your personal reflections, Practice Commitments and Apply Tomorrow™ responses are private to you.

If you are associated with an organisation, your organisation administrator cannot read this content.

Improve Aged Care™ administrators do not use private reflection or commitment text for routine administration, organisation reporting or learning analytics.

Administrative systems may identify that a private activity has been completed where necessary to operate or support the platform, without displaying the content you entered.

If your account is permanently closed, your private reflections and commitments are permanently deleted.

If you learn through an organisation

Your Improve Aged Care™ account is your individual learning account. Being associated with an organisation does not give other learners or colleagues access to your personal profile or learning information.

Where an organisation assigns, provides or funds learning for you, authorised organisation administrators may see information reasonably required to manage that learning, including:

  • assigned learning;
  • whether learning has not started, is in progress or has been completed;
  • relevant completion dates and progress;
  • professional development information; and
  • certificates or credentials resulting from organisation-provided learning.

An organisation cannot see learning you purchase or undertake privately simply because you are associated with that organisation.

If you later move to another organisation, your previous organisation's learning does not automatically become visible to your new organisation.

You remain free to download and share your own certificates or professional development records with another employer if you choose.

Organisation reporting and analytics

Organisations using Improve Aged Care™ may receive aggregated and learner-level information relating to learning that the organisation has provided or assigned.

This may be used to show information such as learning completion, learning in progress, learning not started or overdue, and workforce learning activity.

Organisation reporting does not include the content of private reflections, Practice Commitments or Apply Tomorrow™ responses.

Certificates and professional learning records

Certificates and completed professional learning records form part of your professional development history.

Improve Aged Care™ may retain a limited record of completed learning and credentials for up to seven years where reasonably required for professional record keeping, verification, audit, regulatory or evidentiary purposes.

Where your account is closed, retained credential information is limited to information reasonably necessary to identify and verify the learning completed, such as your name at the time the credential was issued, course or Learning Block, completion or issue date, professional development hours and certificate number.

We do not need to retain your complete profile simply to preserve a credential.

Closing your account

You may request closure of your Improve Aged Care™ account.

A 14-day cooling-off period applies before permanent account closure. During this period, you may cancel the closure request.

Before permanently closing your account, you should download any certificates or records you wish to retain.

When account closure is finalised:

  • private reflections and commitments are permanently deleted;
  • incomplete learning progress and other information no longer required is deleted;
  • profile information that is no longer required is deleted or anonymised;
  • access to the account ends; and
  • limited completed learning and credential records may be retained for up to seven years for verification, audit, regulatory and evidentiary purposes.

Information retained for these purposes is not retained for marketing or unrelated use.

Data retention

We retain different types of information for different periods according to why the information is required.

Completed learning, certificates and relevant professional development records may generally be retained for up to seven years.

Private reflections and commitments are deleted when an account is permanently closed.

Information required only to operate an active account is deleted or anonymised when it is no longer reasonably required.

Some information may remain temporarily in secure system backups or service-provider systems after deletion from our active systems and will be removed according to the applicable provider's normal retention cycle.

Account security

Access to your account is protected through secure authentication.

Passwords are managed through our authentication provider using secure password-protection practices, and information is transmitted using encrypted connections.

You are responsible for keeping your sign-in credentials confidential and should contact Improve Aged Care™ if you believe your account has been accessed without your permission.

If a privacy or security incident occurs that is likely to cause serious harm, Improve Aged Care™ will take appropriate action and notify affected individuals and relevant privacy authorities where required by law.

Service providers and overseas processing

Improve Aged Care™ uses trusted technology providers to operate the learning platform, including providers of hosting, database and authentication services, website infrastructure, email delivery and payment processing.

Some providers may store or process information outside the country in which you live. Where personal information is handled internationally, Improve Aged Care™ takes reasonable steps to ensure appropriate privacy and security protections apply.

We remain responsible for the personal information we hold and do not authorise service providers to sell learner information or use it for their own advertising.

Cookies and browser storage

We use a limited number of cookies and similar browser technologies necessary to operate the platform, maintain secure sessions and remember relevant preferences.

We do not use third-party advertising cookies to build advertising profiles of learners.

Your rights

Depending on the privacy laws applicable to you, you may have rights to:

  • access personal information we hold about you;
  • request correction of inaccurate or outdated information;
  • request closure of your account and deletion of information that we are not required or reasonably entitled to retain;
  • obtain copies of certificates and professional learning records available through your account; and
  • raise a concern about how your personal information has been handled.

Some information may need to be retained despite an account-closure request where reasonably required for legal, regulatory, audit, financial or credential-verification purposes.

We aim to acknowledge privacy enquiries and complaints within two business days and will investigate and respond within a reasonable timeframe.

If you remain dissatisfied, you may have the right to raise your concern with the privacy regulator applicable to you, including the Office of the Australian Information Commissioner in Australia or the Office of the Privacy Commissioner in New Zealand.

Changes to this Privacy Policy

We may update this Privacy Policy as Improve Aged Care™ develops or where legal, regulatory or technology requirements change.

Where changes are significant, we will take reasonable steps to bring them to the attention of learners.
